Important health-information notice
Public website forms and demo channels are not intended for protected health information (PHI). Do not submit PHI through a general form or public demonstration. HIPAA-related processing is available only when expressly agreed in writing, appropriately configured, and covered by any required business associate agreement.
This Privacy Policy explains how Digital Lead Software ("DLS," "we," "us," or "our") collects, uses, discloses, and protects personal information in connection with digitalleadsoftware.com, public demonstrations, forms, calls, messages, online purchases, and related interactions. A separate customer agreement or privacy notice may apply to information DLS processes on behalf of a business customer.
1. Information we collect
Information you provide
- Contact and business information, such as name, business name, email address, telephone number, and role.
- Inquiry and onboarding information, including service needs, scheduling preferences, website or workflow details, and form responses.
- Content and files you submit, including messages, screenshots, branding materials, instructions, feedback, and support communications.
- Call and messaging information, which may include caller number, message content, call metadata, audio recordings, transcripts, summaries, and opt-in or opt-out records when those features are enabled.
- Account and transaction information, such as subscription status, purchased services, invoices, billing address, and limited payment details. Full payment-card data is generally handled by our payment processor.
- Information you choose to provide during an AI-assisted demonstration or service interaction.
Information collected automatically
- Device and network information, including IP address, browser type, device type, operating system, and general location inferred from IP.
- Usage data, such as pages viewed, links clicked, referring pages, session timing, form activity, and interaction with emails or advertisements.
- Cookie, pixel, local-storage, analytics, and advertising identifiers, as described in the Cookie Notice.
- Security and diagnostic data, such as login events, error records, delivery status, carrier responses, and fraud or abuse signals.
Information from other sources
- Business customers or authorized users who direct DLS to process communications or contact information.
- Service providers, integrations, advertising platforms, public business sources, and referral partners.
- Payment, identity, fraud-prevention, telecommunications, hosting, CRM, communications, and analytics providers.
2. How we use information
- Respond to inquiries, provide demonstrations, schedule calls, and communicate about requests.
- Set up, operate, personalize, secure, support, troubleshoot, and improve website features and services.
- Process transactions, manage subscriptions, send receipts, administer refunds, and prevent fraud.
- Operate AI-assisted call handling, missed-call response, lead capture, messaging, routing, summaries, and integrations when requested.
- Deliver transactional communications and, with appropriate consent, marketing communications.
- Measure website and advertising performance, understand usage, and improve user experience.
- Protect rights, safety, systems, users, and network reputation; investigate misuse; enforce policies; and comply with law.
- Create aggregated or de-identified information that does not reasonably identify an individual.
3. How we disclose information
We may disclose personal information to:
- Service providers and processors that support hosting, AI processing, telecommunications, email, SMS, CRM, analytics, advertising, payment, security, file storage, customer support, and professional services.
- Business customers and authorized recipients when a person contacts or communicates with that business through a DLS-configured service.
- Advertising and analytics partners when permitted by your settings and applicable law.
- Government authorities, courts, regulators, law enforcement, or other parties when reasonably necessary to comply with law, protect rights or safety, or investigate fraud and security incidents.
- A buyer, investor, lender, advisor, or successor in connection with a proposed or completed financing, merger, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.
- Other parties at your direction or with your consent.
DLS does not sell personal information for money. We may use analytics or advertising technologies that certain privacy laws define as "sharing," "targeted advertising," or a "sale." Where applicable, you may opt out as described below.
4. Customer-directed processing
When DLS processes lead, caller, customer, patient, staff, or other information solely on behalf of a business customer, that customer determines the purpose and instructions for processing. Requests concerning that information should generally be directed first to the business with which you interacted. DLS will assist its customer as required by applicable law and written agreements.
5. AI, call recording, and transcription
Calls and messages may be handled or assisted by AI. If recording or transcription is enabled, notice or consent may be provided at the beginning of a call, through a message, or by the business using the service, as required by applicable law. Audio, transcripts, and summaries may be used to route inquiries, provide requested services, improve accuracy, support users, maintain security, and resolve disputes.
DLS does not intentionally create or use a voiceprint to identify an individual by unique biological characteristics unless DLS provides any notice, obtains any consent, and maintains any policy required by applicable biometric privacy law.
6. Cookies and advertising choices
We use cookies and similar technologies for essential operations, preferences, analytics, communications, security, and advertising. You can use available cookie controls, browser settings, or recognized opt-out mechanisms where required. Blocking some technologies may affect website functionality. See the Cookie Notice for details.
7. Email and SMS choices
You may unsubscribe from marketing email using the link in the message. You may opt out of recurring SMS messages by replying STOP. Reply HELP for help. We may still send non-marketing messages that are necessary to complete a transaction, respond to a request, provide security alerts, or administer an account, as permitted by law.
8. Data retention
We retain personal information for as long as reasonably necessary for the purposes described in this Policy, including to provide requested services, maintain business and consent records, meet legal and accounting obligations, resolve disputes, enforce agreements, prevent fraud, and protect systems. Retention periods vary based on the type and sensitivity of information, the service configuration, customer instructions, legal requirements, and operational need. We may retain de-identified information where permitted by law.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, which may include access controls, authentication, encryption in transit where appropriate, role-based permissions, monitoring, vendor controls, and secure payment processing. No website, network, transmission, or storage system is completely secure, and DLS cannot guarantee absolute security.
10. HIPAA and sensitive information
This public Privacy Policy does not create a business associate relationship and does not represent that every website feature, form, demo, integration, or communications channel is configured for HIPAA-regulated information. A covered entity or business associate must not send PHI to DLS unless the parties have a required written business associate agreement and DLS has expressly approved the configured method.
When DLS processes PHI under a valid business associate agreement, the agreement and applicable law govern that processing. In the event of a conflict regarding PHI, the business associate agreement controls.
11. Your privacy rights
Depending on where you live and whether a particular law applies to DLS, you may have rights to request access, correction, deletion, portability, restriction, or information about disclosures; to opt out of certain targeted advertising, sharing, or sales; or to appeal a decision. These rights may be subject to exceptions and identity verification.

DLS will not unlawfully discriminate against you for exercising an applicable privacy right. An authorized agent may submit a request where permitted, subject to verification of authority.
DLS currently does not respond to all browser "Do Not Track" signals. Where required, DLS will process legally recognized opt-out preference signals through supported technology.
12. Children's privacy
The website and services are intended for businesses and adults, not children. DLS does not knowingly collect personal information directly from children under 13 through the public website. If you believe a child submitted information, contact DLS so it can be reviewed and deleted where appropriate.
13. International visitors
DLS is based in the United States. If you access the website from another country, information may be processed in the United States and other locations where service providers operate, subject to applicable law.
14. Third-party sites and services
Third-party sites, applications, payment pages, and integrations have their own privacy practices. This Policy does not govern information processed independently by those third parties.
15. Changes to this Policy
DLS may update this Policy to reflect changes in law, technology, vendors, or business practices. The revised version will be posted with a new effective date. Material changes will be communicated as required by law.
